Experience — 60-Day Evaluation Sandbox

The sandbox is a focused evaluation environment — not a production-ready implementation.

  • Typically includes standard configuration, sample data, a limited subset of your data, and selected representative workflows.
  • Includes access instructions and a guided walkthrough.
  • Standard access is 60 days.
  • Pre-contract customization is limited; extensive development, complex integrations, full historical imports, and broad training occur after signing.

Outcome: Enough context to evaluate Benevia against the agreed business needs.

Decide — Scope, Plan, and Quote

You receive a decision package that connects the evaluation findings to a practical implementation plan.

  • Implementation Scope, project phases, estimated schedule, responsibilities, assumptions, and exclusions.
  • Implementation and subscription pricing, including Sandbox Setup, Research, and Design.
  • Delivery, assessment, and payment milestones.

Outcome: Proceed by signing the Implementation Scope, pause until timing improves, or decline with no payment due.

Sign the Implementation Scope. The first payment becomes due and project scheduling begins.

Pause

Preserve the evaluation findings and revisit the opportunity at an agreed time.

Do not proceed

No payment is due. Sandbox access may be deactivated at the end of the evaluation period.

Implementation: a phased, controlled rollout

When the Implementation Scope is signed, the work moves through five defined phases with clear deliverables, responsibilities, checkpoints, and payment milestones.

Data Setup and Import

Prepare a reliable data foundation. Confirm data sources, map fields, prepare and import the agreed data, and validate completeness and accuracy.

Completion signal: The agreed initial data is available and validated for the next phase.

Configuration and Development Complete

Build the scoped solution. Complete approved configuration, workflows, reports, custom development, integrations, internal testing, and blocking-defect resolution.

Completion signal: Scoped functionality is ready for customer training and validation.

Role-Based Training

Prepare each user group for its responsibilities. Train administrators, managers, supervisors, and operational users using the workflows each role will perform.

Completion signal: Required users can complete their intended work and remaining training needs are documented.

Go/No-Go Checkpoint

Make a deliberate launch decision. Review data, workflows, user readiness, unresolved issues, support coverage, launch timing, and contingency plans.

Completion signal: The client and Benevia choose Go, Conditional Go, or No-Go.

Go-Live and Transition Validation

Move into production and retire previous methods. Begin production use, monitor critical workflows, resolve priority issues, and temporarily compare selected Benevia outputs with previous records.

Completion signal: Production workflows are stable, in-scope spreadsheets and processes are retired, and routine double entry has ended.

Success: adoption, handoff, and long-term support

The project is not complete simply because the system is available. Success means the intended work has moved into Benevia and the previous methods can be retired.

Fully implemented

  • All in-scope spreadsheets have been replaced.
  • All in-scope previous processes have been replaced.
  • Required users have been trained.
  • Core workflows and required data are maintained in Benevia.
  • The customer is no longer routinely relying on the replaced systems or methods.

Using Benevia effectively

  • Normal daily work is completed in Benevia.
  • Routine double entry has ended.
  • Users are not relying on replaced spreadsheets or processes.
  • Managers can obtain the needed operational information from Benevia.
  • Routine activities no longer require implementation-team intervention.

Jointly approved handoff

The client and Benevia Sales Contact jointly approve the transition to the Account Manager and first-line support contact.

The receiving team is briefed on the business objectives, final scope, configuration and data setup, training and adoption status, outstanding non-critical items, enhancement requests, support procedures, and recommended next steps.

After handoff, Account Management focuses on adoption and long-term value, while first-line support manages issue intake, triage, and resolution coordination.
